This guide will help you learn the ways to send within Postal. There are three key ways to send your AdHoc offers:
- MagicLink - a link that can be copied and pasted
- Personalized Email - an email directly to one recipient or many (think campaigns)
- Direct - a send directly to a recipient(s) (NOTE - each recipient must have a verified address for the item to be sent)
Personalized Email and Direct are also available via triggered automation based on your org's integrations.

Why are there so many ways to send?
When executing offline gifting, different approaches can often be better for specific use cases. For example, maybe you are prospecting and would like to use the same generic item with a link that requires approval before the item can be claimed. Or, maybe you have had a conversation with a Contact and would like to send them a customized gift with a specific note including the information you just discovered. Sometimes, you already have gifted this Contact or might have their verified address already, which allows you to Send Direct for the best surprise and delight flow. No matter what, Postal will allow you to execute how you want, when you want, the way you want!
Sending MagicLinks
MagicLinks are a great way to embed a link into your email, LinkedIn message, or really anywhere else you would want to drop a link - maybe even in a Zoom forum. MagicLinks come with a ton of controls when being set up as well. Let's have a look at those now. To get to MagicLinks, click on the three dots at the top of your screen, then into MagicLinks.
Once here, you will see a list of all the links you have created. As an Admin, you can also filter through all MagicLinks by Owner, Items, and Status (if that link is active or disabled).
To Create a new MagicLink, click on the “Create New Link” in the top right corner of the page below your icon. This page is now displaying all of the approved items for the Org or Team. If you would like to use a Collection in this link, please see the How to Make a Collection article, and choose that Collection from the Categories section on this page. If we are going the route of one item to have on this link, select that item now. I am going to be using the Golden Ticket to the Willy Wonka Factory.
You will see that I can control a lot about this, including
- Link Name - which will surface to you internally. Pro tip, having a consistency naming convention will be really helpful as you build more and more in your instance!
- Order Limit - The Order Limit is the total amount of times a MagicLink can be redeemed. Each contact is only able to redeem the MagicLink once. For example, an Order Limit of 100 would allow 100 individual email addresses to redeem the gift.
- Expiration Date - The Expires On date is the day that the MagicLink is no longer available. If you set the expiration date to January 2nd, the last day to use the link to redeem a gift (pending remaining quantity) would be January 1st.
As you move down the page, you will see one of the most important settings if you are putting this in more social forums. That setting is the Requires Approval Toggle. Toggling this box on will require all accepted MagicLinks to be approved by the sender
The Landing page is also customizable for you. The header will be at the top of the page and you have options to edit the Messaging, Form Fields and your name and headshot to add some personal touch. For items that allow for a personal note, you will see that toggle here. The note you may include can be the same as the landing page you designed, or different - you get to pick!
Sometimes, it's good to get a meeting on the books before the item can be approved, or you want to give the gift and then give your Contact the chance to book. No matter your approach, both are available within this workflow. Be sure to have your calendar and Email integrated - here is where you can do that
Sending Personalized Emails
Personalized emails are just what they sound like - an email that you can send to one or multiple Contacts. The perk of these are they you can also include their name, for a more personalized approach in your effort.
Just like we used in MagicLinks, the Email has both a header and body that can control, as well as the landing page that your Contact will see as they go to accept the item.
In addition, Admins are able to configure “Send As” which will play into how we can build triggers, but more on that in another session.
Sending Direct
For the moments when we have a Contacts verified address, this is where a Direct Send can be the ultimate in surprise and delight. Direct sending allows you as the User to send to your contact's verified address that is on file within their Profile. With this option, you will notice that only items in the package/item itself are editable. There is no email communication required, but we do allow you to share notifications with your Contact
